WLDF Core uses controlled account, parent/guardian and family-linking processes where applicable. A person does not automatically receive access to a child's account merely by providing identifying information.
Parents or guardians who have questions about information relating to a child can contact the WLDF Registrar using the contact information below.
4. Service Providers
WLDF uses third-party service providers where necessary to operate WLDF Core and associated services.
These include services such as:
- Google Firebase – used for functions including authentication, database services, cloud storage, application infrastructure and related security/technical services.
- Stripe – used to securely process applicable electronic payments.
These providers process information according to their own contractual and legal obligations and privacy practices.
5. Sharing of Information
WLDF does not sell personal information.
Information may be shared where necessary with authorised WLDF officials, competition organisers, licence holders, teachers or service providers where they require the information to perform an authorised WLDF function. Access is limited according to the purpose and role involved.
Information may also be disclosed where required by law or where reasonably necessary to protect users, WLDF or the security and integrity of WLDF services.
6. Data Storage and Security
WLDF uses reasonable technical and organisational measures designed to protect personal information from unauthorised access, alteration, disclosure or loss.
WLDF Core uses authenticated access and role-based controls for protected functions. Information may be stored using cloud infrastructure provided by WLDF's service providers.
No electronic system can be guaranteed to be completely secure, but WLDF works to maintain appropriate safeguards for the nature of the information being processed.
7. International Processing
Some service providers used by WLDF may process or store information in countries outside the user's country of residence. Where applicable, such processing is subject to the safeguards and legal requirements applicable to the service provider and the processing concerned.
8. Data Retention
WLDF retains information for as long as reasonably necessary for the purpose for which it was collected, including membership administration, competition records, results and rankings, financial and accounting requirements, safeguarding the integrity of historical competition records, dispute resolution, security and legal obligations.
Different categories of information may therefore be retained for different periods.
9. Your Privacy Rights
Depending on applicable law, you may have rights concerning your personal information, including rights to request access, correction or deletion of certain information, or to object to or restrict certain processing.
Some WLDF records, such as official competition results, financial records or records required for legitimate organisational or legal purposes, may need to be retained even where another part of an account is deleted.

10. Account and Data Deletion
Users who wish to request deletion of their WLDF Core account or associated personal information may contact the WLDF Registrar. Deletion requests will be handled subject to identity verification and any information that WLDF is required or legitimately entitled to retain.
